Leave Policy

A leave policy is a set of guidelines and rules established by an organization to govern the process of employees taking time off from work. The policy outlines the types of leaves available, the procedures for requesting and approving leave, eligibility criteria, and other relevant details. It serves as a framework to ensure consistency, fairness, and transparency in managing employee absences. Here are key components typically found in a leave policy:

  1. Types of Leaves:

    • Define various types of leaves offered by the organization, such as:

      • Annual or Vacation Leave

      • Sick Leave

      • Maternity/Paternity Leave

      • Bereavement Leave

      • Public Holidays

      • Special Leave (e.g., personal, study, unpaid)

  2. Accrual and Carry Forward:

    • Specify how leave balances are accrued over time and whether employees can carry forward unused leave to the next year.

  3. Eligibility:

    • Clearly state the eligibility criteria for different types of leaves, such as the probation period, notice requirements, and any other conditions.

  4. Leave Request Procedures:

    • Outline the process for employees to request leave, including the preferred method of submission, advance notice requirements, and any specific forms or documentation needed.

  5. Approval Workflow:

    • Define the hierarchy or process for leave approvals, indicating who has the authority to approve different types of leaves.

  6. Leave Duration:

    • Specify the minimum and maximum duration for different types of leaves. For example, a minimum of one day notice for casual leave or the maximum duration for continuous leave.

  7. Leave Calendar:

    • Communicate how the organization handles leave scheduling and whether there are any blackout periods during which certain types of leaves are restricted.

  8. Leave Pay and Benefits:

    • Clarify how leaves impact salary, benefits, and other entitlements. This includes details on whether leaves are paid or unpaid, and if there are any additional benefits associated with specific types of leaves.

  9. Public Holidays:

    • Address how public holidays are treated, including whether they are counted as part of the annual leave entitlement or provided as additional time off.

  10. Compliance with Laws:

    • Ensure that the leave policy aligns with relevant labor laws and regulations governing leave entitlements in the jurisdiction where the organization operates.

  11. Communication:

    • Communicate the leave policy clearly to all employees, and update them on any changes or amendments to the policy.

Creating Leave Policies:

  1. Access ASAERP: Log in to your ASAERP account with the necessary permissions to create leave policies.

  2. Go to the Human Resources (HR) Module:

    • In the left sidebar, click on the "HR" module.

  3. Click on "Leave Policy":

    • In the HR module, you can find the "Leave Policy" option.

  4. Create a New Leave Policy:

    • Click the "+ New" button to create a new leave policy.

  5. Define Policy Details:

    • In the leave policy form, specify the policy name, leave type, accrual details, and other policy settings.

  6. Save the Leave Policy:

    • After defining the policy, click the "Save" button to create it.
